The Proposal Coordinator will collaborate within the Facilities team to manage proposals and business development, maintain CRM data, develop marketing tools, provide website updates, and perform other ancillary tasks to support the growth of our company. Position is based in our Rochester, NY office.

Salary Range: 50-70k

Responsibilities:

  • Manage and prepare design proposals from point of go decision to client delivery
  • Track new project opportunities, and proposal wins and losses
  • Collaborate with key internal stakeholders and provide input for proposal strategy and content
  • Develop, distribute, and manage proposal outlines/schedules, team resumes, and organizational charts
  • Maintain and format marketing pursuit materials including staff resumes, project summary pages, and other qualifications
  • Interface with teaming partners and coordinate proposal production efforts
  • Proofread all proposals and provide copy/design editing, adhering to brand voice, tone, and messaging
  • Help maintain company website with project updates
  • Help develop communications campaigns that support the Facilities core business unit
  • Work with creative and technical consultants to create content for client interviews and industry presentations

      Requirements:

      • BA/BS, preferably in Communications, Journalism, Marketing, Business Administration, English, or a related field
      • Minimum of two (2) years of experience collaborating within a marketing or business development team to lead and/or support proposal activity
      • A/E/C industry experience is a plus
      • A strong working knowledge of Adobe InDesign
      • A strong working knowledge of Microsoft Word, Excel, and PowerPoint
      • Experience with data management/CRM program such as Deltek Vision or Vantagepoint is a plus
      • Ability to work independently as well as in a collaborative environment
      • Strong comprehension and organizational skills
      • Ability to manage multiple projects concurrently, prioritize tasks, and adapt to changing priorities in a deadline driven environment
